A simple IT checklist for growing businesses

June 2026 6 min read

When a business is small, IT tends to be whatever happens to work. But as you add people, clients, and data, that ad-hoc approach starts to crack — and usually at the worst possible moment. Use this checklist to make sure your technology is ready to grow with you.

Security

  • Multi-factor authentication enabled on email and all critical apps
  • Modern endpoint protection on every computer
  • A firewall and secured WiFi (with a separate guest network)
  • Basic security awareness training for staff

Backup and recovery

  • Automated backups of all important data
  • At least one copy stored offsite or in the cloud
  • A restore test done periodically to confirm backups actually work
  • A basic plan for what happens if systems go down

Accounts and access

  • Each employee has their own account (no shared logins)
  • Access is limited to what each role actually needs
  • A clear process to revoke access the day someone leaves
  • A password manager so staff aren't reusing weak passwords

Hardware lifecycle

  • An inventory of company devices and their age
  • A plan to replace aging equipment before it fails
  • Standardized setups so new hires are productive on day one

Network and connectivity

  • Business-grade internet with enough bandwidth for your team
  • Reliable WiFi coverage throughout your space
  • A phone system (VoIP) that scales as you hire

Software and licensing

  • Properly licensed software (no surprises in an audit)
  • Updates and patches applied consistently
  • A list of the tools your business depends on

Support plan

  • A clear answer to "who do we call when something breaks?"
  • Proactive monitoring so issues get caught early
  • A trusted partner who understands your business and industry
How did you do? If you checked most of these, you're in good shape. If several gave you pause, those are exactly the gaps that cause downtime and stress as you scale.
